Privacy Policy

This privacy policy (hereinafter "Privacy Policy") sets forth the handling of personal information obtained by Hikone Dharmakur and its representative director Mina Kitagishi (hereinafter "The Salon") in relation to the services (hereinafter "Services") provided by The Salon. Please note that there are cases in which personal information may be passed on to affiliated business partners in connection with the use of The Salon’s Services. In the case of an affiliated business partner handling personal information, that company’s own privacy policy will apply, so please refer to their policy for relevant details.

1. Definitions

The following terms shall have the meanings defined below when used in this Privacy Policy:

(1) "Foreign Country" shall mean a foreign country as defined in Article 28, Paragraph 1 of the Act on the Protection of Personal Information (hereinafter "Personal Information Protection Law").
(2) "Personal information" shall mean personal information as defined in Article 2, Paragraph 1 of the Personal Information Protection Law.
(3) "Personal data" shall mean personal data as defined in Article 16, Paragraph 3 of the Personal Information Protection Law.
(4) "Record of provision to third parties" shall mean the record of provision of data to a third party as defined in Article 33, Paragraph 5 of the Personal Information Protection Law.
⑸ "Retained personal data" shall mean retained personal data as defined in Article 16, Paragraph 4 of the Personal Information Protection Law.
⑹ "Individual" shall mean the individual person as defined in Article 2, Paragraph 4 of the Personal Information Protection Law.
⑺ "Personal information with special considerations" shall mean personal information containing sensitive information or requiring special care, as defined in Article 2, Paragraph 3 of the Personal Information Protection Law.

2. Scope of Personal Information to be Obtained

The Salon will only collect the types of personal information stated in (2) below, using the methods described in (1) below, and only to the extent necessary to achieve the purposes of use as described in Section 3 of this Privacy Policy. Please note that if you do not wish to provide us with your personal information, we may not be able to provide you with our full range of Services and may not be able to contact you when required.

(i) Information received from customers; for example information written on application forms or submitted through the company website or other online forms, or given orally, etc.
(ii) Information recorded by The Salon in relation to the customer's use of The Salon's Services

(vi) E-mail address
(vii) Membership number
(viii) Record of past visit details (information related to treatment, counseling, etc.)
(ix) Memos / photos related to styling
(x) LINE account information

3. Purpose of Use of Personal Information

Except in cases permitted by law (e.g., in accordance with Article 18, Paragraph 3 of the Personal Information Protection Law), The Salon will use Personal Information only for the purposes outlined below, or for purposes that will be separately notified to customers or publicly announced. In the event of any changes in the purpose of use, the Company will notify the Individual concerned or make a public announcement.


(1) To conduct administrative communications
(2) To respond to inquiries and questions from customers
(3) To conduct ongoing communications as required by law
(4) To provide information about The Salon
(5) To manage information
(6) To make an appointment / reservation at a third-party business upon a customer’s request
(7) To share the minimum information necessary for therapists (including to staff of affiliated businesses) to perform any treatments or other services
(8) To respond to any violations of The Salon’s terms and conditions, or other policies (hereinafter "Policies").
(9) To make announcements regarding any changes to The Salon’s Policies or Services
(10) For any other supplementary purposes or work related to any of the preceding items

4. Provision of Personal Information to Third Parties

The Salon will not provide personal information to any third parties (including those located outside of Japan) without the prior consent of the customer. However, this does not apply when personal information is provided to a third party (including those located outside of Japan) for any of the following reasons:


(1) When The Salon outsources all or part of the handling of personal information to a third party with whom a confidentiality agreement has been concluded, and only to the extent necessary to achieve the purpose of use
(2) When personal information is provided as a part of a take-over of business due to a merger or other reasons
(3) When personal information is provided to a business partner in accordance with the provisions of Section 5
(4) When it is necessary to cooperate with a national agency, a local government, or an individual or entity entrusted by either a national agency or local government to execute affairs prescribed by law, and obtaining the consent of the customer may impede the execution of such affairs
(5) When it is necessary for the protection of the life, well-being, or property of an individual, and it is otherwise difficult to obtain the customer's consent
(6) Other cases permitted under the Personal Information Protection Law or other laws and regulations

5. Joint Use

The Salon may share customers' personal information for joint use in the manner stated below.

6. Management of Personal Information

The Salon will take all steps necessary to prevent leakage, loss, or damage of customers' personal information and will strive to implement appropriate and reasonable security measures to protect customers' personal information.

7. Disclosure of Personal Information

In the event that an identifiable Individual, or a representative acting on their behalf, requests The Salon to notify the purpose of use of retained personal data, or to disclose its record of provision to third parties, or to correct, add, or delete any of the content, or to discontinue its use, or to erase or discontinue its provision to a third party (hereinafter collectively referred to as "Disclosure, etc."), The Salon will appropriately respond to the request for Disclosure, etc. in accordance with the provisions of the law, but only after The Salon has conducted a personal identity verification of the requestee. If the request for Disclosure, etc. by the customer or a representative acting on their behalf does not follow our outlined method of request, we may not be able to respond to such a request. In terms of whether the request for Disclosure, etc. will be acted upon, the result will be communicated in a reasonable and timely manner to the person who made the request. In the case of the request being refused, The Salon will endeavor to explain the reason for the non-implementation of the request.

8. Revisions to Privacy Policy

The Salon may amend this Privacy Policy as necessary. However, in the event that a change to the Privacy Policy requires customers’ consent by law, the updated Privacy Policy will apply only to new customers or customers who have agreed to the changes in the manner prescribed by The Salon. Should any changes be made to this Privacy Policy, The Salon will notify customers or make a public announcement outlining the changes and effective commencement date.
